Faculty & Faculty Assistant FAQs

Who should use the Intent to Hire form?

The Intent to Hire Form should be completed by a faculty member or faculty assistant as a first step in initiating a potential student hire.  If you are unsure whether or not the form is the right first step for you, please feel free to reach out to us at studenthires@law.harvard.edu.

How do I know if a Faculty Member/VP/Lecturer has research funds available to hire an RA?

All FAs have access to their faculty member’s allowances on the PI dashboard. [Please note the FY21 PI Dashboard will be up and running with current budgets and accurate data by the end of September 2020. Please reach out to Lori Adgate or Gina Cinelli until then and they can assist with any budget information until available, as well as for VPs and Lecturers.

How do I know if a student is eligible to work?

Please email us at studenthires@law.harvard.edu with the student’s name, HUID, and we will get back to you.

What do we do if a Professor wants to pay a student at a higher rate?

Please email us at studenthires@law.harvard.edu with the student’s name, the faculty member name, and an explanation as to why the student should be compensated at a higher rate.

What do we do if a Professor wants to hire a student who is currently living outside the US?

Please email us at studenthires@law.harvard.edu with the student’s name and HUID. Current guidelines state that if a student is working outside the US but meets all three of the following criteria, we can hire them in PeopleSoft through 12/31/2020: 1) has an active and valid  I-9 on file, 2) has had a paid appointment for a full a semester or longer since July 1, 2019, 3) has a valid visa.  If the student does not meet these three criteria, then we need to work with GSS to see if there are viable alternatives for engaging the student in a hire.  Please note that this process can be lengthy and will likely include additional fees.

What if a student has finished their work project sooner than expected and would like their end date adjusted?

Please email us at studenthires@law.harvard.edu with the student’s name, HUID and the name of the professor the student was working with and we will adjust your end date for you on your employee record.

What if a Faculty Member would like to engage a Teaching Fellow?

Teaching Fellow hires must align with a course that meets the 30-student enrollment requirement. Please email us at studenthires@law.harvard.edu with the student’s name, HUID, the name of the class they will work for, and the enrollment of the class.

I have a head teaching fellow.  Do I need to do anything to designate this role from the others?

Yes, please email studenthires@law.harvard.edu to let us know the student’s name and HUID.

What if a faculty member would like to engage a research assistant?

The faculty member or faculty assistant should complete the Intent to Hire Form to begin the process.

Do I need to complete a new Intent to Hire form for each role?

Yes, the Intent to Hire form should be completed for each role that a student is being considered for.

 

Student FAQs

I am working for a faculty member; how do I gain access to PeopleSoft to enter my time?

Contact your Professor’s Faculty Assistant to begin the onboarding process.
**You should not begin working until you have been approved, completed the onboarding process and hired for the position.

How do I enter / change the banking information for my direct deposit?

Setting up Direct Deposit in PeopleSoft. You will need your Harvard ID # and Harvard Key to log into the system. Once logged into PS, you want to select Self Service, then My Pay. On the left side of the screen you should see the link for Direct Deposit. Click that link and you will then be able to enter your account information. You need the bank’s routing number, along with your account number. Once the info has been entered, please be sure to hit save!

How do I enter/change my W4/M4 Information?

Go to the Self-Service Tab on PeopleSoft Select My Pay –> W-4 Tax Information/M-4 Tax Information. Be sure to hit save after making any changes!

I went to enter my time and the time tile is missing in PeopleSoft.  What do I do?

It is likely that your position had an end date that has passed and you no longer have PeopleSoft access. Please email us at studenthires@law.harvard.edu and let us know your name, HUID, and what the issue is.

I went to enter my time and the employment record for the position in PeopleSoft is missing.  What do I do?

It is likely that your position had an end date that has passed and you no longer have PeopleSoft access. Please email us at studenthires@law.harvard.edu and let us know your name, HUID, and what the issue is.

I forgot to enter my time last week. What do i do?

If you are a teaching fellow or research assistant working with a faculty member, please email your time, broken out by day, to Daryl Muranaka, Assistant Director, Faculty Support Services. Otherwise, please email studenthires@law.harvard.edu.

Why didn’t I receive my paycheck last week?

Please email us at studenthires@law.harvard.edu with your name and HUID and we will get back to you.

I input my time under the wrong employment record number. What should I do?

Please email us at studenthires@law.harvard.edu with your name, HUID, and the correct information. Let us know which record number the time should have been input under (and the name of the professor) and provide us with the hours worked, broken out day by day.

I cannot remember which employment record number goes with which position.

Please email us at studenthires@law.harvard.edu with your name and HUID and we will provide you with a detailed listing.

I don’t feel comfortable with the I-9 Anywhere option for onboarding. is there another alternative?

What if I completed my work project sooner than expected?

Please work with the Faculty Assistant and email studenthires@law.harvard.edu with your name, HUID, and the name of the professor you were working with and we will adjust your end date for you on your employment record.
