If you would like to forward a number that shows as a call appearance  on your HLS VoIP desk phone (such as a shared department main line) to another number, such as your cell phone, please follow the instructions below.

Note:  You can only forward a call appearance/number to one phone number at a time.  That means that multiple people in the office cannot forward that number to their cell/home phones.  If multiple people need to answer a shared line, please reach out to the HLS ITS Service Desk via the HLS Services Hub.

  1. Login to the Harvard VoIP phone portal (NOTE: You must be connected to VPN if working remotely)
  2. Select the My Call Forwards icon. Your phone lines will be displayed.
  3. Click on the internal number to activate and configure call forwarding settings
  4. Check the box next to  “Advanced Management:” to edit forwarding for internal and external calls separately.

Option Descriptions:
Forward all incoming calls – To forward all incoming calls to a specific number, enter the number next to “Forwarding all calls to:”  To forward all calls straight to voicemail, check the box next to “Forwarding all calls to your voicemail box:”

Internal calls (calls from a Harvard phone number) – To forward all incoming internal calls to a specific number or Voicemail when the line is busy, uncheck “Forwarding busy calls to your voicemail box:” and enter the phone number you would like the call forwarded to.

To forward all incoming internal calls to a specific number or Voicemail when there is no answer, uncheck “Forwarding unanswered calls to your voicemail box:” and enter the phone number you would like the calls forwarded to.  You can also set the number of seconds you would like your phone to ring before it forwards the call.

External calls (calls from outside of Harvard) –

To forward all incoming internal calls to a specific number or Voicemail when the line is busy, uncheck “Forwarding busy calls to your voicemail box:” and enter the phone number you would like the call forwarded to.

To forward all incoming internal calls to a specific number or Voicemail when there is no answer, uncheck “Forwarding unanswered calls to your voicemail box:” and enter the phone number you would like the calls forwarded to.  You can also set the number of seconds you would like your phone to ring before it forwards the calls.

Click Apply when complete

Note that you must use the Harvard Dial plan when configuring Call Forwarding.  Examples include the use of 5 digit Harvard extensions, 9+1+10 digit number (when forwarding to a number outside of Harvard), or +1+10 digit number.

You will need to setup call forwarding for each number individually.
