  • Systems Maintenance Notification: Tuesday, February 27th, between 10pm and 6am

    Dear Members of the HLS Community,

    This is a reminder that ITS will be performing system maintenance from 10pm on February 27th until 6am on February 28th.

  • Harvard Phone Migration is Complete!

    Dear HLS Faculty and Staff,

    HUIT has completed upgrades to the Harvard Phone system which will enable greater platform flexibility for future integration with University collaboration tools and compliance with FCC requirements for E911. As a part of this upgrade, the Jabber softphone app has been replaced with Webex Calling.

    Harvard Phone and softphone users should do the following, if applicable:

    • If you changed your phone settings between December 1, 2023, and January 8, 2024, review and update your settings. These changes were not transferred to the new system.
    1. Log into the Harvard Phone portal to review your phone settings and reset your password. You must be connected to VPN to login to the portal.
    2. Access voicemail to review your greeting
    • If you are a Jabber softphone user: 
    1. WebEx should already be installed on your computer, but you will need to install it on your cell phone if you plan to use it there.  If WebEx is not installed on your computer or it is not functioning, please reach out to the HLS ITS Service Desk.
    2. Update your E911 location in Webex Calling
    3. Recommended: Add people to your Contacts list. As a reminder, custom (personal) Jabber contacts were not transferred to Webex Calling.

  • Formstack Forms Users – Action Needed

    Dear HLS Formstack Users,

    Formstack has released V4 of Forms which includes changes to the structure of Forms. The current forms are being deprecated and action is needed on your part so that your forms continue to function. Please test and migrate your Forms to the new version by March 1st.

    We recommend the following process for updating forms:

    1. Copy the form
    2. Update the copy of the Form to V4
      1. Changing the theme is not necessary
    3. Review and test the updated Form
      1. For any problems, adjust the test Form in form builder for the desired result
      2. Custom CSS, HTML, or embedded scripts inside your Forms will likely need to be adjusted
      3. Reach out to ITS with any issues that you cannot resolve
    4. If no issues, update the original Form
    5. Delete the test copy

    We do not recommend updating forms in bulk.

    Key points:

    • An updated Form cannot be reverted
    • Submissions will not be affected by the update
    • Form embeds and links will not change

    Important dates:

    • January 30th – all new forms created will be in the new “V4” version
      • (until this date, new Forms will be V3 but should be converted immediately after creation)
    • March 1st – All Forms should be reviewed, and any issues raised with ITS
    • April 2nd – all non-V4 forms will be automatically migrated to V4, but may not function properly, so please be sure to performs steps above to ensure no down time for your forms

  • Jabber softphone maintenance Nov. 2 from 8pm – 2am

    Dear HLS Community,

    On Thursday, November 2, 2023, from 8:00 PM through 2:00 AM on November 3, 2023, maintenance will interrupt Jabber service.

    During the maintenance event, Jabber logins and in and outbound calls will be suspended.  Jabber calls in progress will drop if the service is in use at the start of the maintenance window.  Following the event, users will need to re-login.

    Please note VoIP desk phone service and phone settings (i.e., call forwarding and single number reach) will not be affected.

  • HarvardKey Issue – 10/19/23 – Resolved

    This issue has been resolved as of 3:15pm on 10/19/23.

     

    Dear HLS Community,

    It has been brought to our attention that there is currently a HarvardKey issue that is preventing users from logging into several different applications.

    We are actively working with HUIT to resolve this issue.  At this time, we do not have an ETA for resolution, but we will send out a follow up communication once the issue has been resolved.

  • Adobe Standard Stock now available as part of Adobe Creative Cloud

    Dear HLS Faculty, Staff, and Students,

     

    Harvard’s Adobe Creative Cloud license now includes unlimited access to Adobe’s standard stock assets, including nearly 200 million photos, vector graphics, and illustrations, which can be used in presentations, reports, videos, websites, and other creative work.  Note that the premium assets are not included. Users can download an unlimited number of assets of Adobe Stock’s “standard content” which includes most photos, vector graphics, and illustrations listed on Adobe Stock.

  • HLS VoIP Phone Set Maintenance, July 23-July 25, 2023

    Harvard Phone maintenance is scheduled for Sunday, July 23rd, from 8:00 pm to 10:00 pm and Monday, July 24th, from 10:00 pm to Tuesday, July 25th, at 6:00 am.

    This maintenance will cause all VoIP desk phone sets to restart.  The device restart is graceful, meaning calls in progress will remain active, and the phone restart will begin once the call is completed.  The process is expected to take less than 10 minutes.

    Note there will be no impact on Jabber, voicemail, call forwarding, or Centrex phones.

    If you have any problem with your phone set after this maintenance has completed, please contact the HLS ITS Service Desk at 617-495-0722 or via the HLS Services Hub.

  • EMS Maintenance – July 20th, 8AM – 11AM

    Dear Members of the HLS Community,

    On Thursday, July 20, 2023, from 8:00 am to 11:00 am, ITS will be performing routine maintenance to EMS, the HLS space scheduling system.  During this window you will not be able to book, view, or modify any room reservations via the EMS WebApp.

    The desktop EMS application will also be offline during this maintenance period.

    In the event that you experience issues with the application after the scheduled upgrade window is completed, please reboot your computer.

  • Jabber softphone maintenance June 26th from 10pm to 2am

    Dear HLS Community,

    There will be Jabber maintenance starting at 10pm on June 26th and ending at 2am on June 27th. Jabber users will lose service for approximately five minutes and must log back into the application. 

    Please note desk set phone service will not be affected.

    If you have any issues with Jabber softphone after this maintenance, please contact the HLS ITS Service Desk at 617-495-0722 or via the HLS Services Hub.

  • Harvard VoIP online phone portal maintenance: Thursday, May 4th, 4pm-10pm

    Dear HLS Faculty and Staff,

    The Harvard VoIP online phone portal, will be unavailable from 4pm-10pm on Thursday, May 4, 2023.  There will be no interruption to Harvard phone or Jabber service during the maintenance.

    If you have questions or issues with the phone portal after the maintenance has been completed, please contact the HLS ITS Service Desk at 617-495-0722 or via the HLS Services Hub.

  • New MacOS Ventura currently undergoing ITS certification

    Dear HLS Faculty, Staff and Students,

    Apple recently released MacOS Ventura 13.0. ITS is currently certifying this version of the Mac OS to work with standard HLS applications and policies and has restricted this upgrade on HLS Apple computers until the certification process is complete.

    ITS also suggests that students do not upgrade their computers to MacOS Ventura 13.0 until ITS certifies it and verifies that it will work with software such as exam4 and clinical systems.
