Phone numbers

  • All new numbers are randomly assigned
  • Senior administrator and departmental phone numbers will be the only numbers reserved while a position is vacant
  • When a person moves within HLS, their current number may move with them unless they are senior administrator or departmental numbers
  • All other phone numbers for open positions will go back into the Harvard phone number pool

Billing

  • ITS will pay for:
    • VoIP line fees, includes line only
    • Physical phones for unrestricted departments
      • Restricted departments will pay for net new phones (i.e. phones not included in initial roll out)
    • New conference room phones that hold 10 or more people and the room is reservable via MyRooms
      • Restricted departments will pay for net new conference phones (i.e. phones not included in initial roll out)
  • ITS will cover one time costs for all standard phone/line setups, moves, and disconnects for unrestricted departments
  • ITS will NOT cover costs for phone accessories, such as headsets, for both unrestricted and restricted departments.  These items will be charged at the time of purchase (similar to the computer supplies process)
  • ITS will bill other fees, restricted departments, and non-standard setups annually

Moves

  • All phone moves must be done by ITS.  Users must contact the ITS Service Desk if their phone needs to be moved.
  • If FTE moves are not completed by ITS, the line will be restricted to campus only dialing until ITS is notified

Feature requests

  • Users should contact the ITS Service Desk to request or change phone features such as adding hold music, adding softphone, adding call appearances, and adding or removing voicemail
