  • Harvard Phone Voicemail Maintenance Friday, October 31st starting at 9pm

    Dear HLS Community,

     The Harvard Phone Voicemail system will be undergoing maintenance starting Friday, October 31st at 9:00 PM through Saturday, November 1st at 6:00 AM.

    We are anticipating two brief impacts to callers – once at 11:00 pm, and again several hours later. When someone calls a Harvard line with voicemail, the caller will get a ring with no-answer.

    If you have any issues with your Harvard phone number or voicemail after this maintenance, please contact the HLS ITS Service Desk at 617-495-0722 or via the HLS Services Hub.

  • Harvard Phone Maintenance 10/25/25: Phone Set Impact

    Dear HLS Faculty and Staff,

    The Harvard phone vendor is performing maintenance on Saturday, October 25, 2025, from 12:30 AM to 4:30 AM which will result in phone set devices re-registering twice.

    HUIT will monitor the phone registrations and notify HLS ITS if there is a large amount of phone sets that do not return online after the maintenance has been completed.

    Note there will be no impact on Webex Softphone, voicemail, call forwarding, or Centrex phones.

  • Okta identity verification required to maintain access to HarvardKey services

    Dear HLS Community,

    Harvard University is replacing Duo with Okta for identity verification when signing into HarvardKey-protected tools and resources.

    Please set up Okta on your mobile device no later than October 30, 2025. 

    Beginning November 1, faculty, students, and staff who haven’t set up Okta will no longer be able to access HarvardKey-protected resources like email, Office 365, and PeopleSoft.

    For most users, setting up Okta involves only four steps and should take no longer than a few minutes. The steps are:

    1. Download the Okta app
    2. Configure the Okta app
    3. Sign in with HarvardKey
    4. Allow push notifications

  • HarvardKey for Student Google Accounts

    Dear HLS Students,

    To better keep your Harvard Law School account, files, and emails safe and secure, Harvard IT will be adding HarvardKey with two-step verification to all HLS Google accounts on August 6, 2024. This adds an extra layer of security to your HLS Google account using the same Duo two-step verification process that you use to sign into your other Harvard applications. 

    What can I expect? 

    The way you sign into your Harvard Google account will change on August 6, 2024 no action will be necessary prior to this date. 

    Starting August 6th: 

    1. From your browser or app, sign in with your HLS Gmail address as you normally would.
    2. You’ll then be prompted to enter your HarvardKey credentials. Sign in with your HarvardKey email address and password. (Please note that your HarvardKey email address may be different from your Harvard Gmail address).
    3. You’ll receive a prompt to verify your identity through Duo. You can select Trust this browser for 30 days to receive fewer prompts in future.

  • Harvard Phone Migration is Complete!

    Dear HLS Faculty and Staff,

    HUIT has completed upgrades to the Harvard Phone system which will enable greater platform flexibility for future integration with University collaboration tools and compliance with FCC requirements for E911. As a part of this upgrade, the Jabber softphone app has been replaced with Webex Calling.

    Harvard Phone and softphone users should do the following, if applicable:

    • If you changed your phone settings between December 1, 2023, and January 8, 2024, review and update your settings. These changes were not transferred to the new system.
    1. Log into the Harvard Phone portal to review your phone settings and reset your password. You must be connected to VPN to login to the portal.
    2. Access voicemail to review your greeting
    • If you are a Jabber softphone user: 
    1. WebEx should already be installed on your computer, but you will need to install it on your cell phone if you plan to use it there.  If WebEx is not installed on your computer or it is not functioning, please reach out to the HLS ITS Service Desk.
    2. Update your E911 location in Webex Calling
    3. Recommended: Add people to your Contacts list. As a reminder, custom (personal) Jabber contacts were not transferred to Webex Calling.

  • Adobe Standard Stock now available as part of Adobe Creative Cloud

    Dear HLS Faculty, Staff, and Students,

     

    Harvard’s Adobe Creative Cloud license now includes unlimited access to Adobe’s standard stock assets, including nearly 200 million photos, vector graphics, and illustrations, which can be used in presentations, reports, videos, websites, and other creative work.  Note that the premium assets are not included. Users can download an unlimited number of assets of Adobe Stock’s “standard content” which includes most photos, vector graphics, and illustrations listed on Adobe Stock.
