Upcoming maintenance for Webex softphone starting at 8pm on 8/13/2024
Dear Faculty and Staff,
To increase resiliency of the Webex softphone service, HUIT will be performing maintenance from 8:00 PM Tuesday, August 13, 2024, to 6:00 AM Wednesday, August 14, 2024.
During the maintenance period, users will not be able to log into the Webex softphone app to make calls and any in-progress calls using the app will drop.
VoIP desk phone service, phone settings (i.e., call forwarding and single number reach) and voicemail will not be affected.
If you’d like to continue to receive calls while the Webex softphone app is temporarily unavailable, we recommend that you do one of the following to direct incoming calls to your mobile or home phone before maintenance begins on August 13:
Once maintenance is complete, you will need to re-login to the Webex softphone app to make a call.

HarvardKey for Student Google Accounts
Dear HLS Students,
To better keep your Harvard Law School account, files, and emails safe and secure, Harvard IT will be adding HarvardKey with two-step verification to all HLS Google accounts on August 6, 2024. This adds an extra layer of security to your HLS Google account using the same Duo two-step verification process that you use to sign into your other Harvard applications.
What can I expect?
The way you sign into your Harvard Google account will change on August 6, 2024 — no action will be necessary prior to this date.
Starting August 6th:
- From your browser or app, sign in with your HLS Gmail address as you normally would.
- You’ll then be prompted to enter your HarvardKey credentials. Sign in with your HarvardKey email address and password. (Please note that your HarvardKey email address may be different from your Harvard Gmail address).
- You’ll receive a prompt to verify your identity through Duo. You can select Trust this browser for 30 days to receive fewer prompts in future.

Harvard Phone Migration is Complete!
Dear HLS Faculty and Staff,
HUIT has completed upgrades to the Harvard Phone system which will enable greater platform flexibility for future integration with University collaboration tools and compliance with FCC requirements for E911. As a part of this upgrade, the Jabber softphone app has been replaced with Webex Calling.
Harvard Phone and softphone users should do the following, if applicable:
- If you changed your phone settings between December 1, 2023, and January 8, 2024, review and update your settings. These changes were not transferred to the new system.
- Log into the Harvard Phone portal to review your phone settings and reset your password. You must be connected to VPN to login to the portal.
- Access voicemail to review your greeting
- If you are a Jabber softphone user:
- WebEx should already be installed on your computer, but you will need to install it on your cell phone if you plan to use it there. If WebEx is not installed on your computer or it is not functioning, please reach out to the HLS ITS Service Desk.
- Update your E911 location in Webex Calling
- Recommended: Add people to your Contacts list. As a reminder, custom (personal) Jabber contacts were not transferred to Webex Calling.

Formstack Forms Users – Action Needed
Dear HLS Formstack Users,
Formstack has released V4 of Forms which includes changes to the structure of Forms. The current forms are being deprecated and action is needed on your part so that your forms continue to function. Please test and migrate your Forms to the new version by March 1st.
We recommend the following process for updating forms:
- Copy the form
- Update the copy of the Form to V4
- Changing the theme is not necessary
- Review and test the updated Form
- For any problems, adjust the test Form in form builder for the desired result
- Custom CSS, HTML, or embedded scripts inside your Forms will likely need to be adjusted
- Reach out to ITS with any issues that you cannot resolve
- If no issues, update the original Form
- Delete the test copy
We do not recommend updating forms in bulk.
Key points:
- An updated Form cannot be reverted
- Submissions will not be affected by the update
- Form embeds and links will not change
Important dates:
- January 30th – all new forms created will be in the new “V4” version
- (until this date, new Forms will be V3 but should be converted immediately after creation)
- March 1st – All Forms should be reviewed, and any issues raised with ITS
- April 2nd – all non-V4 forms will be automatically migrated to V4, but may not function properly, so please be sure to performs steps above to ensure no down time for your forms

Adobe Standard Stock now available as part of Adobe Creative Cloud
Dear HLS Faculty, Staff, and Students,
Harvard’s Adobe Creative Cloud license now includes unlimited access to Adobe’s standard stock assets, including nearly 200 million photos, vector graphics, and illustrations, which can be used in presentations, reports, videos, websites, and other creative work. Note that the premium assets are not included. Users can download an unlimited number of assets of Adobe Stock’s “standard content” which includes most photos, vector graphics, and illustrations listed on Adobe Stock.

New MacOS Ventura currently undergoing ITS certification
Dear HLS Faculty, Staff and Students,
Apple recently released MacOS Ventura 13.0. ITS is currently certifying this version of the Mac OS to work with standard HLS applications and policies and has restricted this upgrade on HLS Apple computers until the certification process is complete.
ITS also suggests that students do not upgrade their computers to MacOS Ventura 13.0 until ITS certifies it and verifies that it will work with software such as exam4 and clinical systems.
