HLS is committed to the inclusion of people with disabilities in all aspects of campus life, including co-curricular events and activities. The following are guidelines on how to increase event accessibility.

Remote Events Guidelines

Please note: remote and virtual events must also be made accessible. Please reference this virtual event accessibility guide from HUIT to see the steps you can take to make your next event accessible to everyone.

How to Make Communication Accommodation Requests

When Someone Requests Cart (Computer Assisted Real-time Translation) or an Interpreter:

Guests or program planners should fill out a Communication Request Form and submit it to Accessibility Services as soon as possible. Generally, at least two weeks prior to the event is needed to ensure that there is time to secure a provider.

When Reserving Space

Ensure that the physical space is accessible to people with mobility impairments. Examples include considering the height of tables for working groups, meals and receptions, placement of chairs and aisles, as well as ramps for raised spaces, to name a few. Please contact Accessibility Services for questions about the accessibility of campus venues.

When Using Video or Media (Movies, Film Clips, Etc.)

Try to obtain a captioned version of the media. If you are unable to do so, please contact Accessibility Services for assistance. Please try to do so at least seven business days prior to the event.

When Using Video or Media (Movies, Film Clips, Etc.)

Provide participants with accessible, electronic versions of handouts in advance when possible. Otherwise, have them available for the event for participants who may be blind or visually impaired. Please contact Accessibility Services with any questions.

When Serving Food

In addition to your event order, please also order food that will meet students’ dietary needs. Please be sure to consider including following food when ordering:

  • Kosher
  • Vegetarian
  • Vegan
  • Foods made without gluten
  • Foods made without nuts
  • Halal

When Publicizing an Event (Either by Flyer, Website, or Other Means)

Please include information on how potential participants may request accommodations. Pre-event publicity should always include the following statement:

“If you or an event participant requires disability-related accommodations, please contact Accessibility Services, at accessibility@law.harvard.edu, or 617-495-8773 in advance of the event”.
